Create an e-invoice: data, format and validation

An e-invoice is more than a PDF sent by email. Structured data, the agreed format and a meaningful validation result are what matter. Explore the workflow and the limits of the current export.

Confirm the format with the recipient

Ask which format and delivery channel the recipient expects before you begin. PDF, XRechnung and hybrid ZUGFeRD documents are not interchangeable. INVOXA provides XRechnung and CII XML export paths. A complete ZUGFeRD hybrid export embedding XML inside PDF/A-3 is currently unavailable.

Prepare complete structured data

Review the invoice number, date, parties, addresses, line items and totals. A readable PDF cannot compensate for missing machine-readable fields. The current export is designed around EUR and German address data. Check other cases beforehand; there is no blanket promise covering every international or special tax scenario.

Take the validation result seriously

INVOXA checks XML before output. If validation is unavailable or the check fails, the export is not released as successful. Correct the reported data and validate again. Passing a format check does not confirm tax correctness or acceptance by a particular recipient portal.

Your workflow

Three steps towards a clear routine

  1. Confirm the recipient format, data requirements and delivery channel.

  2. Complete invoice data and select an available XML export.

  3. Check validation, resolve errors and provide the accepted file.

In practice

A business customer requests XML instead of PDF

Your customer wants to process invoice data automatically. Ask for the precise format rather than simply sending the existing PDF again. Check whether the available export meets the requirements. Once validation succeeds, provide the file through the channel agreed with the customer.

FAQ

Common questions

Clear answers before you begin.

Is every digital invoice an e-invoice?

No. An ordinary PDF or image is not a structured e-invoice. BMF guidance explains the distinction and accepted formats.

Does INVOXA send to every portal automatically?

No. Downloading XML does not automatically transmit it through Peppol or a public-sector portal. Confirm the delivery route with the recipient.

What happens if validation fails?

The file is not supplied as a successfully validated export. Review the errors and validator availability rather than treating an unchecked file as conformant.

Do I need to install anything?

No. INVOXA runs in a browser. You need an account and an internet connection for the regular workflow.

Which features are available in my plan?

The current pricing comparison shows document allowances and included features. Customer management, expenses, team access and additional exports have their own permissions; free registration does not automatically unlock everything.
