Do not leave small purchases until month-end

Materials, postage and software costs can disappear into a busy working day. Record the purpose of a purchase while you still remember it. A short, concrete description is more useful than a pile of receipts without context. Digital records help you sort information regularly instead of under last-minute pressure.

Distinguish private use from business use

Not every purchase through the same account belongs entirely in your business expense overview. For mixed use, record the circumstances and clarify the allocation. Uploading a receipt does not determine its tax deductibility. Keep unresolved questions for professional review or your tax adviser.

Recognise recurring costs during regular reviews

Compare recurring costs such as subscriptions with their actual receipts. This helps you spot changed amounts and duplicate entries. Recording expenses requires a plan with the relevant permission. Begin with a few consistent categories and expand them only when there is a clear reason.

Your workflow

Three steps towards a clear routine

  1. Collect business receipts promptly and note their purpose.

  2. Identify private portions and unclear allocations.

  3. Review recurring costs and missing documents each month.

In practice

Packaging supplies for a small online shop

You buy boxes and tape along with something for your household. Keep the original receipt and record which items relate to the business. Do not automatically record the entire purchase as a business cost. A clear note makes later professional review easier.

FAQ

Common questions

Clear answers before you begin.

Is every uploaded receipt tax-deductible?

No. Recording an expense documents the transaction. Whether and to what extent it can be recognised for tax purposes needs separate review.

What should I do with a mixed purchase?

Keep the complete receipt and record the allocation of its items. Clarify uncertain portions before drawing tax conclusions.

Do I need lots of categories?

Start with an understandable structure. Consistent classification is more useful than many similar categories that require a fresh decision for every receipt.

Do I need to install anything?

No. INVOXA runs in a browser. You need an account and an internet connection for the regular workflow.

Which features are available in my plan?

The current pricing comparison shows document allowances and included features. Customer management, expenses, team access and additional exports have their own permissions; free registration does not automatically unlock everything.
